How To: Share Google Docs With Lots of People

You’ve created a document (not a spreadsheet!) in GoogleDocs and you’d like to invite lots of people to edit the document … without having to input each-and-every email address. Here’s how to do that:

(1) Click the Share drop-down menu and choose Share with others.

(2) Enter a mailing list address or your address in the Collaborate window. Then select “share as viewers” or “share as collaborators”. Make sure that the box next to Invitations may be used by anyone is checked. If it is unchecked, your invitation won’t allow every member of your mailing list access.

(3) Click Invite collaborators/viewers.

Please note: in order to edit the document, the person responding to your invitation must have a gmail account. Should a recipient of this type of invitation forwards it to others, those additional people can use it to access this document. Google limits this to 200 combined views and collaborators; 10 people may edit or view at any given time.
